Planning an Outdoor Event

Posted by Mallery Causey on 10/16/2017 to How To Guides, Advise & Tips

Fall is one of the most perfect times of the year to host an outdoor event. With football once again starting up, the perfect weather, and beautiful foliage, the season is just waiting for you to plan an amazing occasion. Whether it’s a wedding, school carnival, block party, or tailgating, everything you need to know to host an unforgettable day can be found here.

The location of your event can have an impact on items that may be needed. If your event is being held at night in a dim lit space you may need to provide additional lighting so guests can easily see the area. A generator and extension cords might be required as well if there is not a power source nearby and heaters or fans if the temperature is unpleasant.

If your event is catered be sure to have an area available for the caterer to prep and store replenishment items.  Finger foods and small appetizers are a suitable choice if guests will be standing and mingling for the majority of the event. Depending on the time of the year, the menu should be appropriate for the weather outside. In the event there are cooler conditions, providing warm, comforting options will help your invitees to feel relaxed and less inclined to depart once the main part of the festivity is over.

Outdoor events are unpredictable just like the weather. Be sure to have a backup plan in case of rain. Tents can used to cover your area to provide shelter and warmth. Sidewall can be added to keep water out and heat in. If a tent is needed, choose a large enough one for your guests, seating, tables, and entertainment to fit underneath.
